Description Transaction Coordinator (Part-Time, Hybrid - Bryn Mawr, PA) We are looking for a dedicated, energetic, and highly organized Transaction Coordinator to support our real estate team. The ideal candidate is evolving, collaborative, generous, integrous, and vibrant -someone who is professional, detail-oriented, and passionate about providing exceptional service. This role requires a proactive problem-solver who thrives in a fast-paced, ever-changing real estate environment , communicates effectively, and takes ownership of their work. The ability to adapt to new technology, manage digital tools efficiently, and oversee a virtual assistant is essential. This is a part-time hybrid position, requiring in-office presence two days a week in Bryn Mawr, PA . Responsibilities Transaction Management & Compliance

  • Oversee all buyer and seller transactions from contract execution to closing
  • Ensure all contracts and listings comply with industry regulations and brokerage policies
  • Manage transaction checklists and deadlines to ensure a smooth closing process
Client & Team Communication
  • Serve as the main point of contact for clients, agents, lenders, and service providers, ensuring timely and effective communication
  • Keep the team updated on transaction statuses and flag any potential issues needing attention
  • Provide exceptional client service by anticipating needs, addressing concerns, and offering solutions
Coordination, Technology & Organization
  • Schedule and coordinate inspections, repairs, and closing procedures
  • Maintain organized vendor and service provider records
  • Handle post-closing disbursements, filings, and required compliance documentation
  • Update and manage tasks in Asana to keep transactions on track
  • Track new listings and contracts in the CTE system
  • Effectively manage a virtual assistant , ensuring tasks are delegated efficiently and completed on time
  • Utilize and adapt to new real estate technology tools to streamline processes and improve efficiency

  • Coordinate and attend all closing procedures, such as moving schedules
  • Ensure inspections are scheduled and assist with negotiating and completing any necessary repairs
  • Save customer information in the CRM system, forward all necessary paperwork to the office broker for file compliance, and track transaction activities
  • Help agents, customers, and other parties with all escrow paperwork, including appraisals, titles, and mortgage loans
  • Supervise all administrative duties for home buyer and seller transactions from contract to close
Qualifications
  • Previous experience in transaction management, transaction coordination, real estate, titles, or mortgages highly valued
  • Real estate license preferred
  • High school or equivalent required, some college experience preferred
  • Candidates should be organized and able to communicate written and verbal information to clients accurately and clearly
